The Student Life is a brand operated by Socials BV, registered at Wolstraat 70, 1000 Brussels, Belgium, with company registration number 1023312881. In this policy, "The Student Life," "we," "us," and "our" refer to this entity.

Our general approach

At The Student Life, all ticket purchases are considered final at the time of purchase. Because our events and preparation packages are planned with fixed costs and limited capacity, refunds are only available in the specific circumstances described in this policy. We encourage all students to carefully consider their plans before completing a purchase.

Circumstances not covered by this policy, including personal scheduling conflicts, travel disruptions, visa issues, illness, financial hardship, change of mind, or any other reason personal to the student, do not qualify for a refund. We are unable to make exceptions outside of what is outlined below.

Purchase review window

If you wish to cancel your purchase, you may request a full refund within 24 hours of completing your order, provided the event is still at least 14 days away at the time of the request. This window exists specifically to accommodate accidental purchases, duplicate orders, and errors made at checkout. It does not apply for any other reason, and it does not apply once the 24-hour period has passed regardless of circumstance.

To use this window, contact us at support@jointhestudentlife.com with your order number and the email address used at purchase within the 24-hour period. Requests submitted after this window will not be reviewed.

Event cancellation by The Student Life

If The Student Life cancels an event entirely and does not reschedule it, all ticket holders for that event are entitled to a full refund of the amount paid, including any booking or payment processing fees charged at the time of purchase. We will notify all affected ticket holders by email within 48 hours of the cancellation being confirmed, with instructions on how the refund will be processed. No individual request is necessary. Our target is to return all funds within 10 business days of the cancellation announcement.

For the avoidance of doubt, a cancellation occurs only when The Student Life formally and explicitly communicates that an event will not take place. Changes to the event programme, lineup, schedule, or other details do not constitute a cancellation and do not trigger a refund entitlement.

Event rescheduling by The Student Life

If an event is rescheduled to a new date, the original ticket remains valid for that new date. A refund is only available if the new date is 14 or more days later than the original date. Rescheduling of fewer than 14 days does not qualify for a refund under any circumstances.

If the rescheduled date qualifies under the above condition, ticket holders may request a full refund, including any booking or payment processing fees, within 14 days of the new date being announced. Requests submitted after this window will not be accepted.

If The Student Life announces a rescheduling but fails to confirm a new date within 60 days of the original event date, all ticket holders automatically become entitled to a full refund. We will communicate this proactively by email without requiring individual requests.

Semester Pass

The Semester Pass grants access to all events offered by The Student Life in a given city within a semester, as well as the Welcome Package. Refund eligibility for Semester Pass holders follows the same principles as standard tickets, with the following specific provisions.

If a single event included in the Semester Pass is cancelled by The Student Life and not rescheduled, the Semester Pass holder is entitled to a partial refund equal to the standalone ticket price of that specific event at the time the Semester Pass was purchased. The remainder of the Semester Pass, including access to all other events and the Welcome Package, remains valid and is not affected.

If a single event included in the Semester Pass is rescheduled by 14 or more days from its original date, the Semester Pass holder may request a partial refund equal to the standalone ticket price of that specific event, under the same rescheduling conditions described in the Event Rescheduling section of this policy. The rest of the Semester Pass remains valid.

In the exceptional circumstance that every event within a Semester Pass is cancelled and does not take place, the Semester Pass holder is entitled to a full refund of the Semester Pass.

The Welcome Package included with the Semester Pass is treated separately for refund purposes, as described in the Welcome Package section below. A cancellation affecting the Welcome Package does not affect the Semester Pass, and a cancellation affecting a Semester Pass event does not affect the Welcome Package.

Welcome Package

The Welcome Package is included with every ticket sold by The Student Life, whether purchased as part of a Semester Pass, a Welcome Festival Package, or any other bundle. It consists of a preparation guide, a virtual meetup hosted by The Student Life, a self-guided city game, and entry to a party or event.

Because the Welcome Package is always bundled and is not sold as a standalone product, refund amounts relating to the Welcome Package are calculated on the basis of an internal value assigned by The Student Life. Students may contact us at support@jointhestudentlife.com for information on this value if relevant to their request.

Refund eligibility within the Welcome Package is limited to one specific circumstance: the cancellation of the virtual meetup by The Student Life. If the virtual meetup does not take place due to a cancellation on our end and is not rescheduled within 60 days, the student is entitled to a refund of the internal value assigned to the Welcome Package. No other component of the Welcome Package entitles the student to a refund.

The preparation guide is delivered automatically upon purchase. The Student Life commits to redelivering the preparation guide if a student confirms they have not received it. The student is responsible for checking their spam and promotional email folders before contacting us. A student is only entitled to a refund on the basis of the preparation guide in the exceptional circumstance that The Student Life is unable or unwilling to redeliver it after a reasonable request, which will not occur under normal operations.

The city game is a self-guided activity that students may complete at a time and pace of their own choosing, at publicly accessible locations within the relevant city. Because the city game has no scheduled time, no venue dependency, and remains continuously available, it is not subject to cancellation and does not give rise to refund entitlements.

The party or event component of the Welcome Package is treated as a standard event under this policy and is subject to the Event Cancellation and Event Rescheduling provisions described above.

A refund relating to the Welcome Package does not affect the validity of the Semester Pass, the Welcome Festival Package, or any other product the student has purchased. Likewise, a refund relating to a separate event or ticket does not affect the Welcome Package.

Students who miss, do not attend, or do not make use of any component of the Welcome Package for reasons personal to them are not entitled to any refund or partial refund. This applies regardless of the reason, consistent with the general approach set out in this policy.

Force majeure

The Student Life operates events that depend on venues, local authorities, and external circumstances outside of our direct control. In the event that an event is cancelled or made impossible to deliver due to circumstances beyond our reasonable control, including but not limited to natural disasters, government-imposed restrictions on public gatherings, venue failure through no fault of our own, pandemics, civil unrest, acts of terrorism, strikes, or any other unforeseeable event that makes it illegal, impossible, or commercially impractical to proceed, The Student Life will make reasonable efforts to reschedule the event. If rescheduling is not possible, the refund terms set out in the Event Cancellation section of this policy will apply.

Force majeure on the student's side, including but not limited to travel disruptions, flight cancellations, visa denial or immigration restrictions, local weather conditions affecting the student's travel, or any government restrictions in the student's country of residence, does not entitle the student to a refund. The Student Life is not responsible for any costs or losses a student incurs in connection with their travel to or from an event.

Changes to event details

The Student Life reserves the right to make reasonable changes to event details, including the venue, start time, supporting programme, or other elements, without these changes constituting a cancellation or triggering a refund entitlement. We will communicate material changes to ticket holders as early as possible. Only changes that meet the rescheduling criteria defined in this policy entitle a student to a refund.

Payment errors and technical failures

If a student is charged more than once for the same order due to a payment processing error, The Student Life will refund the duplicate charge in full upon confirmation of the error. To report a billing error, contact us at support@jointhestudentlife.com with your order number and a description of the issue. We will investigate and respond within 5 business days.

If a student is unable to gain entry to an event solely due to a verified failure of the QR code generated by The Student Life, and not due to any issue on the student's device or circumstances within the student's control, the student should contact our team at the event immediately and also follow up at support@jointhestudentlife.com within 24 hours of the event. Each case will be assessed individually, and where a technical failure on our end is confirmed, a remedy will be offered at our discretion.

Refund eligibility and original purchaser rule

Refund eligibility belongs exclusively to the original purchaser of the ticket, the person whose payment method was used at the time of purchase. If a ticket has been transferred to another student, the recipient is not eligible for a refund under any circumstances. Any approved refund will be returned to the original purchaser and to the original payment method only.

Ticket transfers

Students are free to sell, transfer, or give away their ticket to another person without any involvement from The Student Life. Each ticket consists of a QR code granting entry, and the holder of that code at the time of the event will be admitted.

However, once a ticket has been sold, transferred, or given away, the original purchaser permanently forfeits all refund rights associated with that ticket. The recipient of a transferred ticket is not eligible for a refund under any circumstances, regardless of the reason. Refund eligibility is non-transferable.

The Student Life accepts no responsibility or liability of any kind in connection with ticket transactions between private individuals. Students who purchase tickets from third parties, including resale platforms or other students, do so entirely at their own risk. The Student Life has no contractual relationship with any person other than the original purchaser and will not process refunds, resolve disputes, or accept liability arising from third-party ticket transactions.

Conduct and removal

Students who are refused entry to an event or removed from an event due to a breach of The Student Life's code of conduct or event rules, or who are removed from any of The Student Life's community platforms for the same reason, are not entitled to a refund of any amount paid. A ticket is a revocable licence to attend, and that licence may be withdrawn where a student's conduct is deemed unsafe, disruptive, or in violation of our rules.

Disputes and chargebacks

If you have a concern about a charge or believe you are entitled to a refund, we ask that you contact us directly at support@jointhestudentlife.com before initiating any dispute or chargeback with your bank or payment provider. In many cases, concerns can be resolved quickly and directly, and we are committed to responding to all enquiries within 5 business days.

Students who initiate a chargeback or bank dispute for a transaction that falls outside the refund circumstances described in this policy, and where The Student Life has fulfilled its obligations, may be refused entry to future events and have their access to The Student Life's community platforms revoked.

Requests outside this policy

We understand that students sometimes face difficult personal situations, and we recognise this is not always easy. However, we are not in a position to review or approve refund requests that do not meet the criteria above, and we ask that students respect this position. All such requests will receive a response confirming that the request does not qualify under this policy, and no further review will be conducted.

How to request a refund

All refund requests must be submitted by email to support@jointhestudentlife.com with the subject line "Refund Request: [Order Number]." The email should include your full name, the email address used at purchase, your order number, the event name and date, and the reason for the request. We will acknowledge all requests within 2 business days and provide a decision within 5 business days.

How refunds are processed

All approved refunds are returned to the original payment method used at the time of purchase. Please allow up to 10 business days for the funds to appear in your account after the refund has been approved, as processing times vary depending on your payment provider. Refunds will not be issued to a different account, card, or payment method than the one originally used.

Your statutory rights

Nothing in this policy limits or overrides any mandatory rights you may have under the consumer protection laws of your country of residence. Where applicable law grants you rights that this policy does not reflect, those rights remain unaffected.
